Insurance Claims Process: A Complete Guide For Property Owners!

From Damage to Payout: Navigating the Claims Journey.

Understanding the insurance claims process is crucial to ensuring you receive a fair settlement for your property damage.

Knowing The Stages of An Insurance Claim Can Help Ensure a Smoother Experience.

Filing a property insurance claim can feel difficult, particularly when you are already dealing with damage to a home, rental property or business. Understanding the insurance claims process can help you know what to expect and what information may be required.

At Independent Loss Adjusters (ILA), we support policyholders with property insurance claims. This guide explains the typical stages of a claim, practical steps you can take and where professional support may be useful.

The exact process will depend on the policy, type of damage, evidence required and circumstances of the claim.

What Are the 4 Stages of an Insurance Claim?

Every property insurance claim generally follows these four key stages:

1. Initial Report and Claim Filing

The first step is notifying your insurance provider about the loss or damage. This involves:

  • Reporting the incident as soon as possible.
  • Providing basic details about the type and extent of the damage.
  • Submitting necessary documentation, such as photos, invoices, and police reports (if applicable).

2. Assessment and Investigation

Once your claim is submitted, the insurance company will begin its investigation. This may involve:

  • Sending an insurance-appointed loss adjuster to inspect the damage.
  • Reviewing your policy to determine coverage and exclusions.
  • Assessing repair costs and the validity of the claim.

3. Settlement Offer and Negotiation

After reviewing the claim, the insurer may explain how it proposes to settle any covered loss. This could involve repairs, replacement, reinstatement or a cash settlement, depending on the policy and circumstances.

If you disagree with the amount or basis of a proposed settlement, ask the insurer to explain how it was calculated. You can provide further evidence where relevant, such as repair estimates, valuations or professional reports.

If a settlement offer appears too low, our guide to reviewing and challenging a low insurance settlement offer explains the options in more detail.

4. Payout and Repairs

Once settlement terms are agreed, the insurer should progress the agreed settlement promptly. The next steps will depend on the settlement method.

This may involve:

  • A cash settlement
  • Insurer-managed repairs
  • Replacement of insured items
  • Reinstatement work

Further information may still be required before the claim is fully concluded.

What Are the Steps of an Insurance Claim?

To navigate the insurance claims process successfully, follow these key steps:

1. Document the Damage Immediately

Take clear, timestamped photographs and videos of all affected areas. Keep records of:

  • The extent of the damage.
  • Any temporary repairs made.
  • Receipts for emergency repairs or alternative accommodation.

2. Notify Your Insurer Promptly

Check the notification requirements in your policy and tell the insurer about the loss as soon as reasonably possible. A significant delay can sometimes affect the evidence available or make the circumstances harder to establish.

Provide the information reasonably available to you and keep confirmation that the claim has been logged.

3. Obtain Professional Assessments

An insurer may appoint a loss adjuster, surveyor or other specialist to inspect the damage. Where technical, valuation or repair issues need further evidence, a policyholder may also choose to obtain an independent surveyor’s assessment or appoint their own claims professional.

4. Review the Policy Terms Carefully

Understand your policy’s coverage, exclusions, and excess fees. If uncertain, consult an independent loss adjuster for expert advice.

5. Negotiate Your Settlement

If you disagree with a proposed settlement:

  • Ask the insurer to explain how the amount was calculated.
  • Provide relevant evidence if you believe repair costs, damage or other insured losses have been missed.
  • Ask the insurer to review its position where there is a clear basis for doing so.
  • If you want professional support, you can appoint an Independent Loss Adjuster to assist with the claim and settlement discussions.

6. Proceed with Repairs

Permanent reinstatement work will normally follow agreement about the repair scope and settlement route. However, reasonable emergency work may be needed earlier to make the property safe or prevent further damage.

Keep records of agreed work, invoices, photographs and important communications as repairs progress.

Key Steps in the Property Insurance Claim Workflow.

Understanding how your claim moves through the insurer’s system can help you anticipate potential delays. The general workflow includes:

  1. Claim Notification – You notify the insurer and provide the information reasonably available.
  2. Policy and Claim Review – The insurer considers the policy terms and circumstances of the loss.
  3. Investigation – Further evidence, inspections or specialist reports may be required.
  4. Damage and Cost Assessment – The insurer reviews the scope of damage and supported repair or replacement costs.
  5. Settlement Proposal – The insurer explains the proposed settlement method and amount where the claim is covered.
  6. Settlement and Reinstatement – Agreed payments, repairs, replacement or reinstatement can then progress.

How Long Does Insurance Claims Process Take?

There is no single timetable for completing a property insurance claim. The time required depends on the type of damage, complexity of the claim and evidence needed.

Factors that can affect the timescale include:

  • Claim complexity: Large fire, flood or subsidence claims may require more investigation and specialist evidence than a straightforward loss.
  • Extent of damage: Significant repair or reinstatement work can take longer to assess and organise.
  • Outstanding information: Reports, estimates, valuations or other evidence may be needed before decisions can be made.
  • Disagreement over the claim: Differences over policy coverage, repair scope or settlement figures can extend the process.

Insurers are required by FCA rules to handle claims promptly and fairly, provide appropriate information about progress and settle claims promptly once settlement terms are agreed.
